What we collect, and what we do with it.

What this covers
Grad Concert is an all-ages graduation concert in Dallas, Texas. This policy covers gradconcert.com and the accounts behind it: the school rep programme, the crew application, and the dashboards a rep or a lead ambassador signs into.
It does not cover ticket checkout. Tickets are sold on Nightly’s own site under Nightly’s policy, and nothing on this site takes a card.
What we collect
When you apply to rep your school we collect your name, the school you graduate from, your public Instagram handle, your email address, and your phone number.
If your application is accepted and you get a rep account, we also hold what that account produces: your referral link, the orders attributed to it, the points and the tier you earn, and the notes your lead ambassador keeps on your work.
When you apply to work the show as crew we collect your name and your email address, plus your phone number and a note about what you want to do if you choose to give them.
We do not ask for your date of birth, your home address, or any payment detail.
Why we collect it
To decide on your application and to reach you about it. To run your rep account, which means attributing the orders that come through your link, awarding your points, and showing your standing to the lead ambassador who runs your programme.
And to tell you when the date, the venue, the lineup, and the on-sale land, because a rep who hears late cannot carry their class.
That is the whole list. We do not build advertising profiles, and we do not sell what you give us.
Text messages
We text school reps, and only the ones who asked us to. Consent to texts is a separate box on the application, it is never pre-checked, and you can apply and be accepted without it.
Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop them and HELP for help. Stopping texts does not affect your application, your rep account, your points, or your link, and we can still reach you by email.
We do not share your phone number or your consent with anyone else for their own marketing. The full terms of the programme are on the messaging terms page.
Who else sees it
Your application is read by the Grad Concert team and by the lead ambassador of the programme you applied to. Beyond that it reaches only the services we run on: the database that stores it, the services that send our email and our texts, and the hosting that serves this site. Each one is bound to use it only to provide that service to us.
We do not sell personal information. If that ever changes, this policy changes first and the people affected hear it from us before it happens.
If you are under eighteen
Most of our reps are in their last year of high school, and some of them are not yet eighteen. We collect the same few things either way, and we do not knowingly collect anything from a child under thirteen.
If you are under eighteen we ask that a parent or guardian knows you have applied. Either of you can ask us to delete everything we hold, at any time, and a parent or guardian who wants to see what we hold about their child can ask and we will show them.
How long we keep it
An application we turn down is kept while the edition runs and then deleted. A rep account is kept while you are a rep, and afterwards for as long as we need it to reconcile the season it belongs to.
Ask us to delete you and we do, except where we are required to keep a record of money that moved.
What you can ask us for
You can ask what we hold about you, ask us to correct it, ask us to delete it, and ask us to stop contacting you. There is no form to fill in and no fee. Write to us and a person answers.
How we protect it
Access runs by account and by role. A lead ambassador sees their own programme and not another one. Applications are readable only by the team that reviews them.
When this changes
A change to this policy changes the date at the top of it. If the change matters, meaning it affects what we collect or who sees it, we say so directly to the people it affects rather than quietly editing this page.
